The License Audit Cockpit for Partners has been expressly developed for this purpose – it centralizes all of the administrative work steps, which are described below. 2 PROCESS DETAILS The flow chart below shows the standard license audit process: from the time at which the customer is due to be audited to the time at which the audit is completed. 3 LANDING PAGE: LICENSE AUDIT COCKPIT FOR PARTNERS From the landing page, you can either open the License Audit Cockpit application directly or you can carry out various other activities. 3 LICENSE AUDIT COCKPIT FOR PARTNERS For Internal and Partner use only 3.1. Activities Activity Description Tip / Comment Preview measurement results You can display measurement results here. First save the measurement results to a local directory. Then open the relevant file from the browser window and choose Show results. Note that only the file formats .xml and .txt are supported. Transfer measurement results You can transfer measurement results to SAP here. First save the measurement results to a local directory. Then open the relevant file from the browser window and choose Submit. • • • Search for completed audits Note that only the file formats .xml and .txt are supported. Check the measurement results before submitting them. You can also transfer the data directly from the License Audit Cockpit. You can search for audits that have been completed here. Enter the required search criteria and choose the Search function. 3.2. Links Link Description General information for Customer This link launches SAP Support Portal. You will be taken directly to the pages that are relevant for the license audit. General information for Partner This link launches Partner Support portal page. You will be taken directly to the pages that are relevant for the license audit. FAQs This link shows you the most commonly asked questions and their answers. Customer Results Check List This link shows you the most common checks that have to be done before results are transferred to SAP. How to interpret measurement results? This link explains you the structure of the measurement log and how to interpret the measurement results. 4 LICENSE AUDIT COCKPIT FOR PARTNERS 4 For Internal and Partner use only LICENSE AUDIT OVERVIEW The License Audit Overview area contains standard functions, which are described in detail in the table below. Function Description Tip / Comment Refresh the License Audit Cockpit Use this function to update the display of the License Audit Cockpit. Display the measurement results When you select this function, a browser window opens. From the browser, you can select the required measurement results and display them. The customer results must first be stored in a local directory. Transfer the measurement results to SAP When you select this function, a browser window opens. From the browser, you can select the required measurement results and transfer them to SAP. The status of the corresponding customer changes automatically when the results have been received by SAP and further processed. The customer results must first be stored in a local directory. Change page Choose Back or Forward to navigate to the previous or next page. Personalize Choose Personalize to configure your personal settings for the landing page. You can choose to display the tables in the reversed sequence and/or hide the table entries when you first open the page (Start Collapsed). The selection of functions is enhanced: this enables you to save your changes, revert to the standard settings, or leave change mode. Choose Save to save your data. Choose Reset to Default to revert to the standard settings. Choose Cancel to exit the function. Print Page Choose this function to print the page currently displayed. 5 LICENSE AUDIT COCKPIT FOR PARTNERS 5 For Internal and Partner use only CURRENT AUDITS The Current Audits table shows all of the customers currently undergoing an audit à As soon as SAP creates an audit, it is displayed in the License Audit Cockpit. The individual process steps can be taken from this table (send customer correspondence or reminder). The respective status of each audit is also displayed. As soon as an audit has been completed (or canceled), the corresponding table entry is removed and added to the Audit History for the customer (Customer Overview table). 5.1. Traffic Lights – SAP Due Date The traffic lights indicate when an audit is due and are defined as follows: • • Green = up to 6 weeks before the SAP due date Yellow = as of 6 weeks before the SAP due date • Red = once the SAP due date has been reached 5.2. Standard Functions Function Description Tip / Comment Export to Spreadsheet Export the table to an external program. Personalize Select this function to configure your personal settings for the table, for example, you can change the sequence of the columns, hide individual columns, adjust the column width, and so on. 6 LICENSE AUDIT COCKPIT FOR PARTNERS For Internal and Partner use only 5.3. Audit-Specific Functions Function Description Tip / Comment View You can change to another table view here. Another table view must have been created (standard function: Personalize) Audit detail With this function, you can display additional information about the selected audit and enter or delete comments. First select the relevant customer – multiple selection is not possible. Start customer audit* Select this function to invite a customer for auditing. You can either generate an e-mail or simply change the status. First select the relevant customer – multiple selection possible by selecting Set Status only. • Send reminder* If the customer does not provide the results, you can use this function to create a reminder e-mail or simply change the status. First select the relevant customer – multiple selection possible by selecting Set Status only • • • Create a standard e-mail that you can use as a template when sending correspondence to the customer. Display Attachments You can use this function to create an up-to-date PDF/LAW XML measurement plan / Self Declaration Form (if applicable) in PDF format/file with Relevant Notes (if applicable). First select the relevant customer – multiple selection is not possible. Results received* When you receive the results from the customer, you can make a note of it in the audit record. First select the relevant customer – multiple selection is possible. Correction requested* When you receive incomplete or erroneous results from the customer, you can select this status and ask the customer for missing / corrected measurement results. First select the relevant customer – multiple selection is not possible. Note: The functions marked with an asterisk (*), which you execute from the table, are transferred automatically to SAP so that all of the people involved see the same status at the same time. 7 LICENSE AUDIT COCKPIT FOR PARTNERS 6 For Internal and Partner use only CUSTOMER OVERVIEW The Customer Overview table shows all of the customers irrespective of their current auditing status. From this table, SAP audits can be requested or applications made to postpone them. The Audit History of each customer is also stored here. 6.1. Customer-Specific Functions Function Description Tip / Comment Customer details You can access information about the customer and previous audits here: • Customer master data • Comments about the customer • Information about the current audit • History of past audits 7 Request new audit Choose this function if you want to invite a customer for an unscheduled audit. SAP will first check your request. As soon as SAP has started the audit, the customer appears in the Current Audits table. A request can be made only if the customer is not currently undergoing an audit. This function is not available if an audit is currently open for the customer. Postpone audit If the time of the next planned audit is unsuitable, you can use this function to postpone the audit. You must enter the new date and a reason for the postponement. SAP will check your entry before confirming the new date. This function is not available if an audit is currently open for the customer. STATUS E-MAIL SAP sends a status e-mail once a week, which contains the following information: Status Description Tip / Comment Reminder – Audits due within next 4 weeks The date on which measurement results are due from the customers listed here is within the next four weeks. Remind the customers of the deadline. New Audits – not yet started SAP has triggered a license audit for the customers listed here. No activities have been carried out yet on the partner side, and the status has not been changed. Request measurements from the customer or change the status accordingly if the request has already been sent. Completed Audits An audit has been completed within the last seven days for the customers listed here.
